Information for CUCOH 2018 Research Presenters
This page is a dedicated information page for CUCOH 2018 Research Presenters! The purpose of this page is to prepare research presenters for the CUCOH 2018 Research Competition by providing the most current competition-related information.
The CUCOH 2018 Research Competition will take place on the weekend of November 9th to 11th at Queen’s University in Kingston, Ontario. The research competition consists of two types of presentations: oral presentations and poster presentations. Applicants who submitted an abstract for the competition should have already received an email detailing whether or not their abstract was accepted. If their abstract was accepted, the email stated whether or not they were allocated a poster platform or an oral platform. The specific details of oral and poster presentations are discussed later in the Presentation Guidelines section.
Payment and Registration
People who were awarded a platform at the CUCOH 2018 Research Competition have two separate options through which they can register:
Registration for presenters who only wish to participate in the research competition can be found here. The baseline cost for participating in the research competition is $35 (CAD). On top of that, presenters have the option of paying additional money to attend any of the keynote lectures. These keynote lectures will not overlap with the research competition. Additionally, presenters have the option of booking a shared hotel room at a cost of $40 (CAD) per night. This registration is due by October 21st at 11:59 PM (EST).
If presenters wish to be a general delegate and a research presenter, they can register using the general delegate form. The baseline cost for being both a general delegate and a research presenter is $150 (CAD). If a person who has been awarded a poster presentation is pursuing this payment option, it is critical that they select one of the research blocks that corresponds to their type of research (either biomedical sciences or social sciences), as this will be the block in which they are presenting. IMPORTANT: If you plan to be both an oral presenter and general delegate, you must complete this form by October 14th at 11:59 PM (EST). After this time, the form will be modified and this payment option will no longer be available - you will only have the option of applying as a research presenter. The early cutoff is necessary for the scheduling of the oral sessions.
Accommodations for the conference weekend may be arranged individually by research presenters. Alternatively, presenters have the option of booking a shared hotel room through CUCOH at a cost of $40 (CAD) per night. This registration is due by October 21st at 11:59 PM (EST). The hotel is the Four Points Hotel, which is located a 13-minute walk away from the conference venue (although CUCOH will be running a shuttle to and from the venue on a semi-regular basis). Hotel rooms are two double beds, and there is a maximum of four guests per room. A research presenter will only be booked into a room with other research presenters, unless they are also a CUCOH delegate. Transportation is to be arranged by research competition participants. Participants may wish to contact their local CUCOH ambassador for assistance in organizing travel arrangements for the conference weekend.
Structure of the Weekend
While there are scheduled events for general delegates on Friday (November 9th), there are no mandatory events for research participants taking place that day. (For those research presenters wishing to attend the keynotes: The opening keynote will take place Friday night, while the other three keynotes will take place on Saturday or Sunday.) A previous email wrongly stated that presentations were taking place on November 9th; this was incorrect and we apologize for the error. The research presentations will strictly take place on either the Saturday (November 10th) or the Sunday (November 11th). Your date and time of presentation will be randomly assigned unless you have special circumstances - individual presentation times will be communicated in the coming weeks!
Structure for Oral Presentations
For CUCOH 2018, twenty individual abstract submissions were awarded an oral platform. There are five oral presentation sessions spread out across the Saturday and Sunday, and each oral presenter will be assigned a session to showcase their research. Each session will be around an hour long and will consist of four individual oral presentations.
Structure for Poster Presentations
For CUCOH 2018, around thirty individual abstract submissions were awarded a poster platform. There are two poster presentation sessions spread out across the Saturday and Sunday, and each poster presenter will be assigned a session to showcase their research. Around fifteen people will present posters on Saturday and the other fifteen will present on Sunday.
Oral platforms are slide-based presentations (typically a PowerPoint) and are projected to an audience consisting of general delegates, other oral presenters, and adjudicators. Each presentation will be timed by an adjudicator and will have a maximum duration of ten minutes. Following each presentation will be a five minute question period which includes transition time. Presenters will be informed by a sign when they have two minutes remaining in their presentation, but will be promptly cut off if they surpass the ten minute mark.
Each room will contain a microphone, a laser pointer, a MacBook adaptor, and an adaptor cord for PC. Oral presenters are encouraged to send a backup copy of their oral presentation file to firstname.lastname@example.org in the days leading up to the conference. The precise date, time, and room for each oral presenter will be communicated in the coming weeks!
Posters are to be printed and transported to CUCOH 2018 by the individual presenters. The competition will be using poster boards that are 4' x 5' (121.92 cm x 152.4 cm). Individuals will have the opportunity to set up their posters the morning of the competition. Sticky tack and pins will be provided. Like the oral presentations, poster presentations will have a maximum allowed duration of ten minutes, with additional time for questions after the presentation has finished. It is not permitted to hand out summary pamphlets or gifts, as this could lead to an unfair advantage over other presenters.
Prizes and Awards
Various monetary awards and certificates will be announced on the Sunday afternoon once the research competition has concluded. The awards are as follows:
CUCOH Research Competition: Oral Presentation – “Best in Group” (5x)
This prize is awarded to the one oral presentation in each session that has the highest average score (as determined by the adjudicators). Winners of this award will receive a certificate and $80 prize money.
CUCOH Research Competition: People’s Choice Award Certificate (2x)
This certificate will be awarded to one poster presentation from Saturday and another presentation from Sunday. Winners of this certificate are decided by the general delegates; the presenter that receives the greatest number of general delegate votes on that day wins.
CUCOH Research Competition: Poster Presentation – 1st place
This prize is awarded to one poster presentation that has the highest average score (as determined by adjudicators). The winner of this award will receive a certificate and $150 prize money.
CUCOH Research Competition: Poster Presentation – 2nd place
This prize is awarded to the one poster presentation that has the second highest average score (as determined by adjudicators). The winner of this award will receive a certificate and $100 prize money.
CUCOH Research Competition: Poster Presentation – 3rd place
This prize is awarded to the one poster presentation that has the third highest average score (as determined by adjudicators). The winner of this award will receive a certificate and $50 prize money.
As was outlined on the abstract submission form, by presenting your research at the CUCOH 2018 Research Competition, you are consenting to having your submitted abstract published in our abstract booklet. The CUCOH 2018 Research Competition is partnering with the Undergraduate Research in Natural and Clinical Sciences and Technology Journal (“URNCST”) to publish the abstracts that were submitted by presenters. This publication will make the abstracts accessible on several academic search engines and will also serve as a formal recognition of attendance and participation in the CUCOH 2018 Research Competition. If a presenter is unable to make it to the conference, their abstract will not be published.
